Job Purpose
To play a key part in the LyCiG Operations Team, by providing efficient and effective administration and support for all Conferences and other activities. Performing basic accounting duties, such as preparing simple accounts and budgets, processing payments, payroll administration and recording accounts payable and receivable. Support LyCiG staff and volunteers as required, providing outstanding levels of customer service.
Key Responsibilities
Financial Support and Planning
- Manage the preparation and processing of all invoices and payments, after approval from the Operations Manager.
- Maintain accurate financial records and ensure proper filing and documentation of financial transactions.
- Record all income, including donative revenue, into the accounting system and database.
- Prepare grant claims and reports as required.
- Reconcile accounts payable and accounts receivable, ensuring timely payments and collections.
- Assist the Operations Manager with preparing financial reports, including budgets, audit preparation, and financial analysis.
- Assist with presentation to the Trustees.
- Help maintain and update LyCiG’s financial database and accounting software.
- Perform a quarterly quality control review for Accounts
- Receivable, reconciling all online income against the respective accounts (i.e. CAF, JustGive, UK Bank Account).
Administer LyCiG’s HR processes and database, working closely with the Operations Manager
- Maintain accurate employee files, including records for annual leave, sick leave and other employment related issues.
- Manage the LyCiG payroll, ensuring prompt and accurate payment of staff salaries.
- Understand and ensure compliance with the relevant HR policies and procedures, including GDPR.
- Assist with recruitment processes as required, including placing adverts, handling enquiries and liaising with candidates.
Support the Associate Director and Operations Manager in managing LyCiG communications processes, ensuring timely and appropriate communications across a range of different media.
- Assist with the production of relevant and impactful communication and publicity.
- Help maintain LyCiG’s online presence, ensuring that the website and social media feeds are up to date and accurate.
Administration Support
- Provide administrative support for LyCiG Conferences and other activities.
- Assist with preparing reports, presentations, and meeting materials.
- Maintain Conference supplies and resources, ensuring smooth distribution as required.
- Organise and maintain cloud-based filing systems.
- Handle incoming emails and enquiries in a professional and timely manner.
- Perform general administration duties, such as photocopying, scanning, and filing.

Hours of Work: Part-time, 15 hours per week Monday-Friday

Based: Home Based
Salary: £9,828 - £10,800 (£24,570 - £27,000 FTE) dependent on experience
