Our vision is to become the UK’s leading independent paediatric health and wellbeing provider, with a nationwide network of clinics, online resources, and family support. We are opening our first clinic in North West London (Golders Green, NW11) in March 2025 and are seeking a highly motivated Medical Receptionist to join our team.

Role Overview

As the first point of contact for families, you will play a vital role in ensuring our clinic operates smoothly and that every family receives exceptional service. You will be the friendly and empathetic face of our clinic, managing a wide range of administrative and practice management responsibilities.

Key ResponsibilitiesFront Desk and Patient Interaction
  • Serve as the first point of contact for families, both in-person and over the phone/email/messaging.

  • Provide a warm, empathetic, and professional welcome to children and their families.

  • Handle enquiries, concerns, and feedback with sensitivity and reassurance.

  • Assist families with the triage process and respond appropriately to their needs.

  • Schedule, confirm, and manage appointments for patients and clinicians.

  • Take payments, issue receipts, and liaise with insurers for authorisation and billing.

  • Conduct personal follow-ups with families post-appointment to ensure satisfaction and collect feedback.

Administrative Duties
  • Maintain and update the clinic’s practice management system, Semble, ensuring all patient records are accurate and up-to-date.

  • Manage the clinician calendar, ensuring efficient scheduling and minimal conflicts.

  • Send follow-up notes, letters, and test results as directed by clinicians.

  • Coordinate with external parties such as labs, suppliers, and insurers.

Practice Management Support
  • Assist with stock management, procurement, and office supplies.

  • Liaise with clinicians to book sessions and secure locum/agency support where needed to cover last minute appointments and sickness/holiday cover.

  • Help maintain compliance with health and safety standards, CQC regulatory requirements, and data protection policies.

  • Support the smooth running of clinic operations by proactively identifying and addressing potential issues.

Team Collaboration
  • Work closely with clinicians and other administrative staff members to provide seamless patient care.

  • Undertake other responsibilities as requested, commensurate with the level and nature of the role.

Skills and Experience RequiredEssential
  • Previous experience in a similar role within a medical setting (Receptionist or customer facing Administrator)

  • IT skills, including familiarity with practice management systems, such as Semble (or comparable software).

  • Flexible approach to work, with pro-active problem-solving skills in order to be able to adapt to the evolving needs of a new clinic.

  • Strong organisational skills and the ability to multitask in a fast-paced environment.

  • Exceptional interpersonal skills, with ability to build rapport with families and children.

  • High level of empathy, professionalism, and customer service.

  • Experience of handling payments, managing calendars, and coordinating administrative processes.

Desirable
  • Understanding of paediatric healthcare and experience working with children and families.

  • Experience of working directly with clinicians within the private healthcare sector (this could be a non-clinical role or previous experience as an HCA or similar).

  • Basic knowledge of CQC compliance, health and safety, and medical regulations.
