Position Summary:

We are seeking a highly organised and personable Office Manager & Executive Assistant to play a vital role in the smooth running of our UK and Mayfair based office, providing exceptional support to our Senior Team. This role is a dynamic blend of traditional office management responsibilities with dedicated EA duties, specifically focused on complex diary and appointment management. The ideal candidate will be a proactive problem-solver with excellent communication skills and a client-centric approach.

Key Responsibilities:

  • Executive Assistant Support:

    • Proactive management of complex calendars and schedules for the Senior Team, including scheduling meetings, booking travel arrangements, and managing expenses.

    • Acting as the first point of contact for internal and external stakeholders, including investors, clients, and service providers.

    • Preparing presentations, reports, and correspondence as required.

    • Providing confidential administrative support to the Senior Team.

  • Office Management:

    • Overseeing the day-to-day operations of the office, ensuring a professional and welcoming environment.

    • Managing office supplies, equipment, and vendors.

    • Coordinating office maintenance and repairs.

    • Implementing and maintaining office procedures and systems.

    • Assisting with event planning and coordination.

    • Onboarding new employees and managing office access.

    • Handling incoming and outgoing mail and couriers.

Qualifications:

  • Proven experience as an Office Manager or Executive Assistant, ideally within the financial services industry.

  • Strong experience with complex diary management and scheduling for multiple executives.

  • Excellent organisational, time management, and prioritisation skills.

  • Exceptional communication and interpersonal skills, with the ability to interact effectively with individuals at all levels.

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Discretion and confidentiality are essential.

  • Proactive and resourceful approach to problem-solving.
