PA to Director: Are you an organised and proactive professional looking to support senior executives in a dynamic environment? Join Ageas as a Personal Assistant to one of our UKET Members, where you'll ensure the smooth running of personal and departmental objectives for our UK Executive Team (UKET). This highly visible role involves regular communication with senior managers, key suppliers, and partners, making you the first point of contact for the UKET member.

Main Responsibilities as PA to Director:

  • Communication Management: Handle written and verbal queries from inside and outside Ageas, involving senior personnel and journalists as appropriate.
  • Office Systems: Maintain office systems, including data management and filing, and act as a resource point for departmental information.
  • Document Production: Produce documents, briefing papers, reports, and presentations, ensuring relevant papers are prepared for upcoming meetings.
  • Call Screening: Screen telephone calls, enquiries, and requests, liaising with various departments and teams.
  • Diary Management: Maintain central information, inboxes, and diary systems for Directors and Managers, ensuring effective organization of meetings.
  • Travel Arrangements: Arrange travel, visas, and accommodation using Ageas corporate rates.
  • Expense Processing: Process expense reports for Directors and obtain approval for team expenses.
  • Meeting Support: Organize and attend meetings, providing dictation and minutes as needed.
  • PA Coverage: Cover for other PAs during holidays or absences.

Skills and experience you need as PA to Director:

  • Strong planning and organizational skills with the ability to handle multiple priorities.
  • Problem-solving abilities and proactive initiative.
  • Excellent verbal and written communication skills, adaptable to different audiences.
  • High-quality documentation production within tight timescales.
  • Teamwork and collaboration with other PAs to ensure efficient information dissemination.
  • Excellent time management, tact, and diplomacy skills.
  • Strong influencing skills to manage conflicting priorities.
  • Experience working at Senior Management level in a rapidly changing environment.
  • Proficiency in MS Word, PowerPoint, Excel, Visio, and MS Outlook.
  • Timeliness and completeness of meeting, event, and travel arrangements.
  • Up-to-date progress of actions and task lists.
  • Accuracy and timeliness of documentation produced.
  • Regular filing of papers.
  • Adherence to Ageas processes and procedures.
  • Managing spend within budget.
