Order Taker Administrator

About the role

Venus Wine and Spirit Merchants PLC is seeking a highly organised and customer-focused Order Taker to join our team on a part-time basis in Tottenham, London. In this role, you will manage customer orders and coordinate deliveries. Working 3 days a week (Monday-Wednesday, 7am-2pm), you will play a vital role in maintaining seamless communication with customers, drivers, and depots while ensuring efficient order processing and delivery coordination. This role requires exceptional attention to detail, a calm demeanour under pressure, and strong communication skills to handle complex orders and resolve stock or delivery issues promptly.

Role Responsibility

  • Taking and processing orders via telephone from sales representatives by e-mail and via bespoke food and beverage platforms such as F&B, Swiftcloud, and Procure Wizard
  • Advising customers of out-of-stock items and offering replacement stock
  • Liaising with customers, drivers, and the transport manager regarding deliveries
  • Liaising with the Leeds/Bristol depot on required stocks and upcoming deliveries both by Maddex and daily couriers
  • Organising last minute couriers for customers who require additional stock outside of their normal delivery day
  • Invoicing orders once picked by our warehouse operators
  • Ensuring that all paperwork regarding delivery has been returned at the end of the day i.e. proof of delivery has been signed and dated and if any shortages have been noted that they are investigated accordingly
  • Liaising with buyers regarding stock issues and putting together the daily out of stock list

You will need

  • An excellent telephone manner
  • Excellent attention to detail coupled with a good memory
  • A working knowledge of excel
  • Able to remain calm under pressure
  • Able to evidence taking complex orders
