Job Title: Wealth Administration Assistant

A well-established Wealth firm in Hackney, London, is looking for a highly organised and proactive Administration Assistant to join their team. This is a part-time, permanent position with flexibility around hours. This role offers an exciting opportunity for growth within the financial services industry. You will have the chance to learn on the job, gain valuable experience, and gradually take on more responsibilities, with the potential to develop into a Paraplanner over time.
In this role, you will play a crucial role in managing day-to-day administrative tasks and providing support to senior team members, helping the firm maintain a high standard of client service. We are looking for someone who can take full ownership of their duties and ensure a smooth operation of the business.
Key Responsibilities:
· Responding to client questions and requests via email or phone (e.g., meeting scheduling, document requests)
· Accurately preparing and organising client-facing documents such as financial statements, insurance policies, investment portfolios, and tax returns
· Scheduling client meetings and ensuring Advisors and Paraplanners are fully prepared with relevant documents and reports
· Inputting financial data into planning systems (e.g., income, expenses, assets, liabilities) using the firm’s financial planning software
· Assisting in generating simple financial reports (e.g., cash flow, net worth statements) from client data
· Preparing preliminary drafts of financial reports or summaries for client meetings, ensuring all client details are up-to-date and accurate
· Conducting research on investment products, insurance policies, tax-saving strategies, and other financial products that could be relevant to client plan
· Helping to create or update financial proposals that include product recommendations (e.g., insurance plans, investment options)
· Maintaining both physical and digital filing systems to ensure client records are stored securely and are easily accessible
· Participating in internal training sessions on financial planning software, investment products, financial products, and paraplanning processes.
Required Skills and Competencies:
· Extensive experience in an administrative support role, ideally within the financial services or similar industries
· A strong interest in Wealth Management and Financial Planning
· Exceptional organisational skills with an eye for detail and the ability to prioritise multiple tasks effectively
· A pro-active approach and self-motivated individual who can work independently and take ownership of their role, as well as work well within the Team
· Strong communication skills and the ability to build professional relationships with colleagues and clients alike
· A desire to learn and develop within the financial industry sector, with an interest in progressing towards a Paraplanner role over time.
